The ASUC Student Union oversees event planning and management for event venues and programs including the Martin Luther King Jr. Student Union, Anna Head Alumnae Hall, Career Center Blue and Gold Rooms, Student Tabling Program & Campus Outdoor Spaces.  

Setup Assistants are responsible for day to day operations of the ASUC Student Union including but not limited to:

  1. Setting up and breaking down events according to client specifications and in a timely and efficient manner.
    1. Setting up and breaking down equipment including tables, chairs, linens, stages and audio/visual, such as sound systems and microphones.
    1. Providing excellent client service and ensuring client expectations are exceeded; establishing an open, professional and friendly relationship with clients.
  2.  Ensuring the event venue and public areas are clean and maintaining secure and safe facilities.
    1. Provide event support services such as monitoring trash and recycling bins, crowd control, troubleshooting audio/video equipment and responding to client requests.
    2. Open, unlock, alarm and close venues
    3. Complete minor custodial tasks as needed to keep the facility in a clean and well running condition at all times throughout the shift.
    4. Ensuring full compliance with campus and venue policies and procedures.
    5. Handle life safety emergencies which may arise be responsible for the safety of occupants during daily operations ensuring that all appropriate emergency procedures are followed.
  3. Working with other venues and their staff to ensure consistent service across all spaces  and programming.

    1. Meeting regularly with the Operations Supervisor to review event requirements and projects to be completed.
  5. Evening and Weekend hours are required. Overnight and early morning shifts will also be required.

Qualifications

  • Currently registered UC Berkeley undergraduate student.
  • Exercises good judgment.
  • Excellent oral and written communication skills, and has excellent customer service skills. 
  • Adheres to assigned work schedule and must be punctual.
  • Detail oriented and willing to learn Event Management Software.
  • Proactive and takes initiative.  Shows a willingness to help clients and colleagues find solutions are required for all staff.
  • Works both independently and as part of a team in an often hectic environment as well as the ability to work with diverse groups of people are essential. 
  • Ability to be flexible and take direction with a SMILE
  • The ability to lift 50 lbs and move equipment and furniture regularly.
  • Dress in appropriate attire during shift.

The ASUC Student Union: The ASUC Student Union provides high quality services and programs that foster experiential learning opportunities, enhance the student experience, and ensure a sustainable organization. They include the LEAD Center for Leadership, Engagement, and Advising; Event Services at the Student Union; Facility Maintenance and Operations, and the Berkeley Art Studio.

Concierge Desk Attendant Position:
-The Concierge Desk Attendant’s primary function is to provide information and excellent customer service to anyone who visits the ASUC Student Union.
-The Concierge Desk Attendant will also book meetings and events accurately into EMS.
-Is the first point of contact for our many clients and visitors. It is an exciting and fast paced role where you will be working with all types of people.
-The right candidate will also become expertly familiar with UC Berkeley event venues and will advise our clients and visitors regarding their event planning questions.
-The Concierge Desk Attendant will also staff the Cub-E to provide assistance to students checking out tables and chairs for tabling.
-This position is for a student with a “go getter” attitude and ability to learn quickly

Concierge Desk Attendant will learn these key skills:
-Detail oriented
-Accurately entering reservations into event management system, ensuring that clients’ requests are thoroughly and accurately reflected in the reservations.
-Prioritizing heavy workloads
-Responding to a high volume of client requests and inquiries quickly. Requests and Inquiries come in the form of email, online submissions, phone and also in person
-Communication and listening skills
-Recommending the best venue for clients after thoroughly gauging the client’s event needs Event planning Communicating policies and procedures to clients, sending event forms, permits, invoices, and ensuring they are completed and returned according to set deadlines.
-How to work within a professional office environment
-Directing all incoming traffic (calls and walk ins) professionally for the entire ASUC Student Union Office.
-Learning a new software
-Learning nationally used Event Management Software (EMS) in order to input events and manage event calendars for all venues. Utilizing EMS functions for improving customer relationship management

ASUC Student Union Business Development & Finance
Billing Specialist

The Business & Finance Billing Specialist is responsible for ASUC Student Union (SU) Event Services accounts receivable (A/R), including event invoicing, payment processing, collections, and financial reporting.
Event Services plans over 3,000 events a year for student groups, campus departments, and public clients in SU managed spaces including the MLK Student Union, Anna Head Alumnae Hall, campus outdoor spaces, and the Career Center.
Responsibilities
Assist in the processing of A/R transactions, including event billing, payment processing, collections, and financial reporting:
•Ensure accurate client payment data on Event Management Software (EMS) system.
•Ensure accurate and timely processing of client invoices and payments, including cash, checks, credit cards, and internal IOCs. Code payments and revenue shares to appropriate accounts.
•Maintain client credit card forms.
•Prepare department financial reports, including Ageing Report, Billing Worksheet, and Career Center Billing. Follow up with stakeholders as necessary.
•Prepare weekly CDS deposit.
•Review Ageing Report to identify clients (RSOs and Campus Departments) no longer eligible to use Event Services’ facilities.
Required Qualifications
•Proficiency working with computer and information systems, including MS Office software and Google applications (bMail, bCal, Drive). Ability to learn and correctly use EMS system.
•Ability to complete responsibilities timely and accurately; attention to detail; ability to prioritize and multitask.
•Must be punctual and have excellent communication and people skills. Ability to maintain a courteous and professional relationship with clients and co-workers.
•Currently registered UC Berkeley undergraduate, 1st or 2nd year. Work-Study.
•Hours: 12-15 hours per week. Dates and times are flexible. Must work at least 2 hours per day during Office Hours.
•Available to work summer session.

The Berkeley Art Studio within the ASUC Student Union is looking for an artistic and hardworking student to support the social media presence for the Berkeley Art Studio. This position will work under the direction of a full-time staff member of the Berkeley Art Studio.

Job Duties:

  • Maintain two (2) platforms for the Berkeley Art Studio (Facebook, Instagram)

  • Take photographs of student artwork and classes for posting on social media and the Art Studio’s website

ASUC Student Union Event Services
Event Planning Assistant Position
Job Description / 2018-2019
Event Services at the ASUC Student Union provides comprehensive event planning and consultation, as well as versatile venue spaces. We partner with clients to arrange the appropriate venue space and plan a successful event within budget. Event Services assist groups with all the event planning details, including catering, linens, décor, and audio­-visual. Event planners also hold event planning client meetings, create space diagrams, confirm space is secured, and confirm campus permits are filled out, approved and on file in a timely manner.

JOB DUTIES:
-Assist in proactive planning, communication and scheduling of a wide variety of events including meetings, conferences, receptions, networking events and outdoor functions.
-Communicate with clients in a professional and friendly manner, throughout the planning process.
-Conduct event planning meetings with clients.
-Respond to client inquiries via email and phone within 48 hours
-Create contracts and maintain a record of event details using Event Management Systems (“EMS”) software.
-Keep event reservations current as changes are requested using Event Management Systems (“EMS”) software.
-Communicate event details and changes to the Event Services team to ensure seamless event operations.
-Provide clients with updates on event details, vendor contracts and pricing, all in a timely manner.
-Create space diagrams using Social Tables.
-Research and secure equipment and rentals as needed.
-Ensure that all events comply with campus policies
-Work with campus partners to obtain necessary permits. Ensure permits are filled out, approved and on file in a timely manner.
-Help coordination of overall event execution on site.
-Other duties as assigned.
      OTHER:

TERMS OF EMPLOYMENT
-The period of employment for this position begins upon hire and continues at least through the end of the 2019 academic year.
-Must be a currently enrolled UC Berkeley student.
-Must be available to work 15+ hours per week during the academic year.
-Must be available to work 15+ hours per week during the summer.
-Required to work over one academic break (ie. Winter Break, Spring Break)
-Must participate in Event Planning Assistant Training.
-Required to attend all-staff training.
-Required to work a minimum of 2-hours at each of the following annual events: Cal Day (April), Open House (February) and Summerfest (June).
-Required to attend staff meetings and trainings, as scheduled.

Marketing Photographer

Rate: $15 hour (dependent on experience)

The ASUC Student Union Marketing Department is looking for dynamic photographers to enhance the marketing presence for ASUC Student Union and it’s departments. The Marketing Photographer will work under the direction of a full-time staff member of the ASUC Student Union Marketing team. If you think you have what it takes to capture the visual story of campus, then apply today!

The Marketing Photographer should be able to work several hours during regular office hours (Monday-Friday 9-5pm) as well as outside traditional office hours (including some nights and weekends).

Qualifications:

– Experience with DSLR cameras on manual settings and shooting in RAW.
– Strong understanding of photography fundamentals including: light, composition, exposure, depth of field, shutter speed, and ISO.
– Experience photographing indoor and outdoor events in a variety of contexts.
– Comfortable photographing people.
– Experience using Adobe Photoshop, Adobe Bridge, Adobe Lightroom, or similar applications.
– Experience editing images from small touch ups, like cropping, to full photo manipulations, like clone stamping.
– Comfortable collaborating with other members of the Student Union team.

Job Duties:

– Produce high-quality photography for a variety of events including, but not limited to: campus-wide events, Student Union hosted events and workshops, student org events, weddings, corporate events, etc.
– Take portraits of ASUC Student Union staff.
– Produce well-composed, editorial photography for web, social media, and other marketing channels.
– Collaborate with social media staff on ways to enhance posts through visual aids.
– Retouch and enhance photos.
– Export/save images for correct application.
